Senior Office Manager & Personal Assistant for Prague HQ office

To support our Prague HQ office, we are looking for an experienced colleague who will be responsible for smooth operation of the office and support to management of the company and other colleagues.


Main tasks include:

The Senior Office Manager & Personal Assistant will be fully responsible for daily operation of the office which include:

  • Set up of the office, preparation of new workplaces and coordination of all the happening in the office
  • Ensuring of daily office run / handle office equipment so all is operational (fax, copy machine, telephones)
  • Make sure there is all needed office stuff is ordered etc., offices are clean, well maintained and look representative all the time; communicates with catering company, cleaning service provider, etc.

Furthermore, the Senior Office Manager & Personal Assistant is:

  • Admin support to management team members, close cooperation and support to CEO in particular – with his daily tasks, correspondence and other stuff up on his need
  • Support to Marketing and Business Development department in particular – CEO is actively involved in the Marketing and Business development activities and is managing these teams
  • Agenda management; booking meeting rooms, greet and meet clients
  • Organizing travel and preparing complex travel itineraries – booking hotels, flight tickets, taxi, etc.
  • Working with company contact database – CRM – and keeping it up to date; creating term sheets / offers to potential clients
  • Administration of received post and post to be sent; messengers
  • Communication with Landlord on office operational stuff
  • Arranging documents translation; communication with notary
  • Answering calls, e-mail correspondence
  • Communicates with other business partners of CTP and branch offices abroad
  • Creates various overviews / databases / reports
  • Other ad-hoc jobs from the management and other needed tasks

The Senior Office Manager plays an important role within the team and through her support helps to achieve CTPs goals and business plan.



  • Secondary education with graduation exam at least
  • Very good knowledge of English, both written and spoken (other language advantage)
  • Typing “all ten fingers”
  • User knowledge of MS Office (word, excel)
  • Excellent collaboration, verbal and written communication skills
  • Responsible and active attitude to work, well organized and hard-working person
  • Flexibility, able to work independently, stress resistant, concentration to work
  • Team player
