Senior Office Manager (Warsaw)

To support local team, the CTPs Polish management in particular, we are looking for an experienced colleague who will be providing full admin support and be responsible for smooth operation of the office.

Main tasks include:

  • Support on opening an office in Warsaw – currently there is no office established but CTP is searching for the most suitable office premises in the city center of Warsaw.

Up on decision taken, the Employee will be coordinating all necessary steps to open and equip the office, and at the same will be further responsible for the overall operation and run of the premises, to make sure these are clean and well maintained, equipment and machines are operational, welcomes visitors, operates the reception, purchases small stuff and refreshment, prepares for new work places and coordinates the overall happening in the office.

  • Being responsible for received post, sending courier parcels and other up-to-date correspondence;
  • Supporting and cooperating with the team, the CFO in particular, as well as other team members, with their daily activities, agenda, correspondence, planning of their business travels including booking of hotel, plane tickets, taxi, etc., but also easier activities including copying, scanning, post, archiving, etc.;
  • Communicating with other business partners of CTP and branch offices abroad, the HQ office in Prague in particular;
  • Keeping the management TO DO list up to date, taking notes at the management meetings
  • Support on creating, developing and maintaining market overviews / databases / reports; working with CRM database of contacts and DMS data management system;
  • Issuing internal orders, working with Axapta system
  • Pro-actively following up on incoming Business Development leads by gathering and preparing all necessary information and arranging follow-up meetings;
  • Supporting business development with research, lead-spotting, preparation of proposals / Head of Terms (in CRM), arranging for meetings and viewings, presentations, etc.;
  • Support on the HR matters of the Polish office, headhunting, job offers preparation, labor contract preparation, communication and coordination with the payroll teams, etc.;
  • Other ad-hoc jobs.

    The Senior Office Manager plays an important role within the team and through her/his support helps to achieve CTPs goals and business plan.

    Requirements:

    • An exceptional professional, with an expressive range of secretarial & office management skills; perfect communication and negotiations skills.
    • Very good knowledge of English, both written and spoken (other language advantage) Typing “all ten fingers”
    • User knowledge of MS Office (word, excel)
    • Responsible and active attitude to work, well organized, proactive, hard-working, discrete
    • Flexibility, able to work independently, stress resistant, concentration to work Team player
